Job summary

Jobtailor is seeking a capable Property Manager to oversee day-to-day operations for HOA/COA communities. You will maintain strong client relationships, attend board meetings, enforce rules, and manage budgets while coordinating maintenance, vendor bids, and capital projects.

The role requires 3+ years in HOA/COA management, proficiency in MS Office and property financial software, and a demonstrated ability to lead teams and HR functions.

Qualifications

  • 3+ years of residential HOA/COA property management experience, portfolio 500–1000 units.
  • High computer literacy including MS Office, PDF software, and property financial software.
  • Experience managing, motivating, and developing people.
  • Experience with full-cycle HR: recruiting, onboarding, payroll, timekeeping, performance management.
  • Ability to work independently and collaboratively.
  • Must maintain a dedicated home office.
  • Reliable transportation to travel to communities and office as needed.
  • Exceptional organizational and time-management skills.
  • Ability to self-manage projects, prioritize tasks, meet deadlines.
  • Professional, responsive verbal and written communication.

Responsibilities

  • Oversee day-to-day operations and performance for an assigned portfolio of HOA/COA associations.
  • Build strong client relationships and deliver resident experiences.
  • Serve as primary relationship manager for Board members, clients, residents, and vendors.
  • Prepare for and attend monthly and annual board meetings.
  • Enforce community rules and manage resident violations fairly.
  • Create and manage annual operating and capital budgets.
  • Monitor financial reporting and explain variances.
  • Approve invoices, oversee insurance, and manage dues/receivables.
  • Oversee visits, inspections, and maintenance programs.
  • Solicit bids and negotiate contracts with vendors.
  • Oversee capital improvement projects.
  • Lead, motivate, and develop assistants and on-site team.
  • Handle recruitment, onboarding, training, payroll, scheduling, performance evaluations.
  • Maintain proactive resolution and prioritized to-do lists.
  • Deliver polished written and verbal communication.
  • Respond to 24/7 property emergencies.

Job description

  • Build strong client relationships and deliver exceptional resident experiences
  • Serve as primary relationship manager for Board members, clients, residents, and vendors
  • Prepare for and attend monthly and annual association board meetings
  • Enforce community rules and manage resident violations fairly and consistently
  • Create and manage annual operating and capital expenditure budgets
  • Monitor and assist with financial reporting and variance explanations
  • Approve invoices, oversee insurance, and manage association dues/accounts receivable collections

Requirements
  • 3+ years of residential association (HOA/COA) property management experience, ideally managing a portfolio of 500–1,000 units
  • High computer literacy, including strong command of Microsoft Office programs, PDF software, and property financial software
  • Demonstrated experience managing, motivating, and developing people
  • Experience with full-cycle HR functions including recruiting, onboarding, training, payroll, timekeeping, and performance management
  • Proven ability to work both independently and collaboratively
  • Must maintain a dedicated home office
  • Reliable transportation to travel to communities within the assigned portfolio and the corporate office as needed throughout the week
  • Exceptional organizational and time-management skills
