Job summary

Pilot Ventures is seeking an Assistant Property Manager to support operations across properties in the Seattle area. You will be the primary contact for residents, helping with inquiries, service requests, and lease coordination while working with Portfolio Managers to ensure smooth day-to-day operations.

The role requires strong communication, organization, and a proactive, team‑oriented attitude. Travel between sites in the greater Puget Sound area is expected, with an office‑first but

Qualifications

  • Minimum 2 years in customer service, retail, or administrative roles
  • Valid Washington driver’s license with insurable driving record
  • Reliable transportation for daily travel between property sites
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Proficient with Microsoft Office Suite
  • Willingness to learn and use various tools and technology
  • Ability to stay calm and professional in high-pressure situations
  • Openness to constructive feedback and continuous improvement

Responsibilities

  • Provide exceptional customer service to residents and prospects, respond promptly to inquiries and service requests
  • Maintain accurate resident files and records per company policies
  • Coordinate and monitor lease renewals, notices, and audits
  • Advertise and inspect available apartments; perform move-in/move-out walkthroughs and coordinate maintenance
  • Support leasing team with marketing, record-keeping, and tours
  • Meet and coordinate vendors and contractors at properties
  • Support financial workflows: invoice review, move-out accounting, delinquency monitoring, payment plans
  • Learn and use property management software and company systems (AppFolio, Aptly, SharePoint)
  • Ensure compliance with fair housing laws and safety inspections
  • Foster a safe work environment and report unsafe conditions
  • Adhere to SOPs and company values
  • Assist with owner communications and reporting as needed
  • Support team with additional tasks as assigned
