Job summary

LifeLong Medical Care in Richmond, CA seeks a Scheduling Coordinator for the Family Medicine Residency Program. Primary point person for templating and scheduling for faculty, residents, and preceptors, represented by SEIU-UHW.

Worker will manage EPIC templates, three-month advance layouts, and Qgenda, while coordinating with leadership and external partners to ensure productive, compliant schedules and timely communications.

Responsibilities

• Ensure EPIC templates reflect assignments for each shift.
• Lay out templates three months in advance for all residents, faculty, and preceptors.
• Identify scheduling conflicts and alert site leadership of any issue affecting patient care.
• Collaborate with Program Director, Clinical Lead, Center Manager and/or Program Manager for schedule modifications.
• Manage time off requests from faculty and preceptors.
• Provide effective communication regarding schedule changes to the clinic in real time.
• Manage the Qgenda scheduling platform and ensure EPIC reflects schedules.
• Manage FMRP schedules email account and respond to requests daily.
• Provide ongoing assessments of templates and coverage needs.
• Set up conference calls, zoom meetings, calendar reminders.
• Attend staff clinical team meetings.
• Collaborate with team and external partners to ensure productive schedules.
• Provide regular reporting of coverage needs, monthly schedules, and weekly percentage slots.
• Other tasks assigned by FMRP leadership.
