Hart Ranch Camping Resort in Rapid City, SD seeks a Reservationist to serve as the primary contact for guests, handling reservations, registrations, and payments with warmth and professionalism.

You will check guest details, assign campsites and cabins, assist by phone and in person, and coordinate with resort teams to ensure a smooth stay. This seasonal, part-time role supports a welcoming guest experience.

Qualifications

• Minimum of high school diploma.
• Motivated self-starter.
• Ability to lift 50 pounds.
• Stand, walk, sit, and manual dexterity as required.
• Availability for all shifts, weekends, holidays & special events.

Responsibilities

• Greet guests promptly with a friendly, professional attitude.
• Assist guests in person and over the phone with information and service.
• Complete guest check-in and registration using the reservation system.
• Verify reservation details including guest info, occupancy, rates, and accommodations.
• Assign campsites and cabins based on guest needs and availability.
• Issue keys and provide welcome packets and resort information.
• Process payments by credit card, cash, vouchers, or other accepted methods.
• Balance accounts and post charges accurately in the system.

Summary:

The Reservationist serves as a primary point of contact for guests, delivering exceptional customer service both in person and over the phone. This role is responsible for making reservations, completing guest registrations, processing payments, handling guest inquiries and concerns, and ensuring a welcoming experience throughout the guest's stay. The Reservationist works closely with other resort departments to maintain smooth operations.

Overall Responsibilities of the Reservationist:

• The Reservationist will provide service to guests in person or over the phone in a professional and gracious manner and will focus on creating a warm and welcoming environment for guests.
• Meets or exceeds Member service expectations.
• Works well with other team members.
• Adheres to Hart Ranch Camping Resort Employee Handbook and Employee Safety Manual.
• Performs other duties as assigned.

The Reservationist will:

• Greet guests promptly with a friendly, professional, and welcoming attitude.
• Assist guests in person and over the phone, providing accurate information and excellent customer service.
• Complete guest check-in and registration processes using the reservation system.
• Verify reservation details, including guest information, occupancy, rates, and accommodations.
• Assign campsites and cabins based on guest needs and availability.
• Issue keys and provide welcome packets and resort information when applicable.
• Process payments, including credit cards, cash, vouchers, traveler's checks, and other accepted payment methods.
• Make change, balance accounts, and accurately post charges within the computer system.
• Answer incoming phone calls promptly and professionally.
• Receive, record, retrieve, and communicate guest messages.
• Resolve guest concerns and complaints using sound judgment and problem-solving skills.
• Remain calm, professional, and responsive during emergencies and high-volume periods.
• Perform moderately complex arithmetic and financial transactions accurately.
• Maintain effective communication with all resort departments.
• Coordinate site moves, maintenance requests, housekeeping needs, guest checkouts, and winterization/de-winterization activities.
• Adhere to all Hart Ranch Camping Resort policies, procedures, safety standards, and employee handbook requirements.
• Work cooperatively with team members to meet or exceed guest service expectations.
• Perform other duties and special projects as assigned by management.
