Job summary

Woods to Water Vacation Homes in Minnesota is seeking a Reservationist to support guests from booking through post-stay follow-up. You will handle messaging, reservations across platforms, and assist in check-in/check-out communications to ensure a smooth stay.

The role emphasizes organization, hospitality, and coordinating with housekeeping and maintenance through Breezeway, while maintaining brand standards and timely responses.

Qualifications

• Previous hospitality, customer service, administrative, or vacation rental experience preferred.
• Strong written and verbal communication skills.
• Highly organized with strong attention to detail.
• Comfortable using software and digital tools; experience with booking platforms, PMS systems, or Breezeway is a plus.
• Able to manage multiple tasks and stay calm in a fast-paced environment.
• Positive, team-oriented attitude with a hospitality-first mindset.

Responsibilities

• Respond to guest inquiries and messages in a timely, friendly, and professional manner.
• Assist with reservation support across booking platforms including Book the B.L.A., Airbnb, and VRBO.
• Help manage guest communication before, during, and after each stay.
• Support check-in and check-out communication to ensure guests have the details they need.
• Escalate higher-level guest concerns or service recovery situations to the Guest Relations Lead as needed.
• Monitor and support guest messaging to help create a seamless stay experience.
• Assist in collecting and monitoring guest reviews following each stay.
• Maintain a high standard of communication that reflects the Woods to Water Vacation Homes brand.
• Review housekeeping and maintenance items in Breezeway and communicate updates internally as needed.
• Help monitor property readiness and flag issues that may impact arrivals or guest satisfaction.
• Maintain and organize supply drop lists for homes and housekeeping needs.
• Support day-to-day administrative and office tasks tied to reservations and guest service.

POSITION OVERVIEW

The Reservationist supports the guest experience from booking through post-stay follow-up, working closely under the Guest Relations Lead. This role is ideal for someone who is organized, hospitality-minded, and enjoys both guest communication and behind-the-scenes coordination.

The Reservationist will focus on day-to-day guest messaging, guest reviews, supply tracking, and supporting property readiness by monitoring housekeeping and maintenance items in Breezeway. This role helps ensure guests have a smooth, welcoming, and well-supported stay while keeping internal operations moving e ffi ciently.

KEY RESPONSIBILITIES

Guest Communication & Reservations

• Respond to guest inquiries and messages in a timely, friendly, and professional manner

SCHEDULE:

• Monday through Friday: 8:00 AM – 5:00 PM
• No Manager on Duty responsibilities required for this role
