Job summary

Beacon Hill Staffing Group seeks a Docketing Analyst to support a U.S.-based law firm in Intellectual Property docketing. This is a fully remote role; candidates must sit in the US.

The assignment runs through year-end with potential extension and involves maintaining trademark docket portfolios, monitoring deadlines, and ensuring timely docketing of matters. The ideal candidate has 5+ years in IP docketing, trademark experience, and proficiency with PATTSY and MS Office.

Qualifications

• 5+ years of progressive Intellectual Property docketing experience focused on trademarks.
• Trademark experience is required.
• Strong experience with domestic and foreign trademark matters and TTAB proceedings.
• In-depth knowledge of U.S. and international trademark docketing requirements and deadlines.
• Strong experience with docketing software; PATTSY experience is highly relevant.
• Excellent proofreading, organizational, and attention-to-detail skills.
• Ability to identify discrepancies in docket and bibliographic data and help resolve complex issues.
• Ability to manage a high volume of deadline-sensitive work accurately and independently.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office Suite.

Responsibilities

• Review, process, and distribute correspondence from the USPTO, foreign government agencies, and foreign associates.
• Maintain assigned trademark docket portfolios and ensure daily docket clearance and accurate filing logs.
• Monitor and maintain domestic and international trademark deadlines and electronic docket calendars.
• Ensure accurate and complete docketing of documents and deadlines received from the USPTO and other domestic and international sources.
• Maintain accurate docket records and prepare reports as required.
• Save client and legal documents in PATTSY and upload documents and images to the appropriate matter records.
• Maintain electronic files through the firm's IP management system and iManage integration.
• Process abandoned and inactive matters in accordance with established procedures.
• Respond to complex docketing questions from attorneys and staff.
• Lead docket audits, including bibliographic, PTO formality, and U.S. pair inconsistency audits.
• Assist with mass bibliographic data updates, matter intakes, and other docketing projects.
• Communicate effectively with attorneys, staff, and clients while maintaining confidentiality.
