Job summary

Virtual Construction Controllers - A MSYS Company is seeking a Technical Operations Workflow Specialist/Project Assistant to own and grow the department. Remote work with a focus on integrating JobTread PM App and QBO, onboarding clients, and optimizing operational workflows using Ai tools.

You will coordinate project billing, cost tracking, change orders, and data integrity across connected apps while supporting client success and efficient onboarding.

Qualifications

• 5 years, Construction/Remodeling experience.
• 3-5 years cost accounting experience; strong attention to detail.
• Proficient in MS Office (Excel, Word, Outlook/Gmail).
• Ability to perform technical research in a multi-window, multi-priority environment.
• Strong analytical, organizational, and problem-solving skills; critical thinking.
• Strong customer service and verbal communication skills.

Responsibilities

• Develop quality workflow for operations within the Project Management system using Ai tools.
• Job cost tracking, change orders, and invoice processes with data transfer to JobTread PM app.
• Coordinate new client onboarding and client success within MyStackYourStaff tech stack.
• Onboard clients to integrate JobTread PM App and QBO systems and map codes/files.
• Coordinate new jobs awarded tracking in JobTread PM app.
• Maintain organized project files per company standards and compliance.
• Coordinate job billings, customer deposits, and change orders via JobTread.
• Correct errors and maintain data sync between QBO and JobTread.
• Monitor Slack for errors and intervene to ensure client success.
• Proactively solve client issues and manage day-to-day relationships.
• Serve as liaison between office, field, and customers to meet deadlines.
• Create views, dashboards, and reports from JobTread and stay updated on tech.
• Implement new rollouts/updates from JobTread app.
• Develop and improve back-office operations and processes.
• Maintain internal controls and safeguards for JobTread PM app.
• Document processes and policies for project assisting functions.
• Prepare reports by collecting, analyzing, and summarizing operational data.
• Complete weekly and ad-hoc costing and margin reports.
