Job summary

CIVIE is seeking a detail-oriented Staff Accountant to manage AP and AR across three entities, supported by AI-enabled software. The role is remote, with a weekly PO Box mail pickup required for the Dallas/Frisco, TX area.

Ideal candidates have 3–5 years of AP/AR experience, a Bachelor's in Accounting/Finance, and proficiency with QuickBooks Online and Bill.com. Growth into monthly reporting and analysis is expected.

Qualifications

• Bachelor's degree in Accounting or Finance required.
• 3–5 years of accounting experience with AP/AR responsibility.
• Experience with AI-enabled or automated accounting tools helpful.

Responsibilities

• Manage day-to-day AP and AR workflows across multiple entities.
• Review, code, and approve vendor invoices.
• Generate and send customer invoices; monitor collections.
• Reconcile AP/AR subledgers to GL for each entity.
• Resolve discrepancies flagged by AI-enabled processing tools.
• Maintain vendor and customer records across all entities.
• Monitor AP/AR trends (aging, DSO/DPO, variances) monthly.
• Prepare month-end AP/AR trends summary for leadership.
• Flag cash flow implications to Controller as needed.
• Support month-end close with accurate AP/AR.
• Maintain consistency in AP/AR processes across entities.
• Pick up mail weekly from Dallas/Frisco PO Box.
• Sort mail and distribute to remote team members.
• Flag time-sensitive documents for prompt processing.
