Job summary

Paul Davis Restoration of Northern Virginia is seeking a Specialty Services Job Coordinator to serve as the hub for our restoration projects. You’ll drive paperwork, scheduling, and communications from intake to close, keeping crews informed and the file audit-ready.

You’ll own authorizations, track progress in RMS/DASH, and ensure timely EMS updates and carrier communications. The role blends remote work with occasional on-site coordination in Stafford.

Qualifications

• 2+ years in project coordination or administrative operations

Responsibilities

• Own the signed work authorizations (WA) on every Specialty job and ensure it is signed and uploaded before work starts
• Prepare, send, track and upload COS/COC, disposal authorizations, refunds or reimbursement documents
• Confirm with production at daily huddle and EOD check-in which jobs are cleared to start
• Manage the complete job file in RMS/DASH from intake through closing with signed documents
• Keep a current journal note on every open job and avoid gaps
• Review the RMS Compliance Manager twice daily for Pending/Warning items and clear ownership
• Update the RMS supervisor of record to the assigned production PM
• Ensure no documentation gaps between approved scope and work completed/billed
• Post EMS updates the same day as work is done within carrier timeframes
• Lead daily huddle and weekly production team meetings with actions and owners
