Job summary

Paul Davis Restoration of Northern Virginia is seeking a Specialty Services Job Coordinator to be the organizational hub for the team, ensuring smooth from intake to close. You will manage work authorizations, COS/COC, and all documentation while keeping the file audit-ready and up-to-date.

The role demands strong organizational skills, ability to juggle multiple tasks, remote work capability, and reliable transportation for occasional on-site work at Stafford office or job sites.

Qualifications

• 2+ years of experience in project coordination, job coordination or administrative operations, ideally in restoration, construction or insurance claims.
• Experience with RMS, DASH or an equivalent job-tracking and file-compliance system.
• Familiarity with TPA workflows and KPI requirements and insurance carrier guidelines.
• Comfortable working remotely and staying connected with the team through phone and Microsoft Teams.
• Proficiency in Microsoft Office (Outlook, Word, Excel), including structured use of Outlook rules, flags and shared mailboxes.
• Strong written and verbal communication skills with adjusters, TPAs and homeowners.
• Exceptional organization to manage many active jobs against deadlines.
• High attention to detail in documentation and file compliance.
• Self-directed with ownership mindset.
• Valid driver's license and reliable transportation for occasional on-site work.

Responsibilities

• Own the signed work authorization on every Specialty job and ensure it is signed and filed before work starts.
• Prepare, send, track and upload certificates and other customer forms.
• Manage the complete job file in RMS/DASH from intake through closing and keep it audit-ready.
• Maintain a current journal note on every open job.
• Review RMS Compliance Manager twice daily and address items.
• Update RMS supervisor of record to the assigned production PM.
• Ensure no documentation gaps between approved scope and work performed.
