Job summary

Armada is hiring a Sales Coordinator to accelerate the AI Factory sales team by providing operational and administrative support. You’ll help keep deals moving, track NDAs, manage data rooms, and coordinate travel and events across time zones.

Experience with Salesforce and deal coordination is highly valued, with remote work across the continental US. The role emphasizes precise admin, collaboration with marketing and engineering, and maintaining accurate deal information to enable faster

Qualifications

• 2-4 years of experience in sales coordination, transaction coordination, executive support, or project coordination.

Responsibilities

• Track follow-ups owed by Account Executives and close actions
• Capture deal action items and chase to completion
• Manage NDA process end-to-end
• Track documents and data room access
• Assemble and send collateral packages
• Maintain multi-threaded deal trackers
• Schedule meetings across time zones
• Prepare meeting briefs and pre-read packets
• Book and coordinate travel for the team
• Coordinate logistics for site visits and events
• Process travel and vendor expenses
• Log meetings in Salesforce and keep records current
• Improve forecast accuracy by recording deals in Salesforce
• Review Salesforce updates and call logs
• Maintain partner contact records
• Ensure NDA is in place before engineering engagement
• Ensure data room access never delays deals
• All customer interactions logged in Salesforce
