Job summary

Armada is hiring a Sales Coordinator for the AI Factory team to accelerate deal progression across high-value strategic accounts. You will support deal processes, NDA handling, data room access, collateral packages, and cross-functional coordination with sales, engineering, and marketing.

This remote role is based in the continental US, with responsibilities for travel logistics, site visits, events, and Salesforce data entry.

Qualifications

• 2–4 years of experience in sales coordination, transaction coordination, executive support, or project coordination for B2B tech.
• Highly organized with the ability to manage many parallel threads and follow through without reminders.
• Clear, professional written communication with senior executives, customers, and investors.
• Discretion with confidential deal and investor information; hands-on Salesforce experience.

Responsibilities

• Track follow-ups owed by AI Factory Account Executives and ensure closure.
• Capture action items from deal meetings and chase them to completion.
• Run the NDA process end to end, including signature routing and status tracking.
• Track documents and data room access for prospects and partners, and assemble collateral.
• Maintain stakeholder trackers for multi-threaded deals and schedule meetings across time zones.
• Prepare meeting briefs and pre-read packets for key customer and partner meetings.
• Book travel and coordinate site visits, events, and expenses in partnership with marketing.
• Log offline meetings in Salesforce and keep deal checklist fields current; support forecast accuracy.
