• Three years of bookkeeping experience with project accounting or job costing.
• Strong proficiency with QuickBooks Online, including project tracking and AR.
• Experience allocating shared expenses and payroll costs across multiple projects.
• Experience preparing invoice packets and managing accounts receivable and collections.
• Experience maintaining balance sheet reconciliations and financial reporting.

Responsibilities

• Record and categorize direct and indirect project expenses, including labor, materials, and contractor services.
• Maintain project records and cost codes in QuickBooks Online for accurate tracking.
• Allocate shared overhead across programs using approved methods.
• Review transactions for proper coding and supporting documentation.
• Identify discrepancies and coordinate resolution.
• Review timesheets and allocate hours, wages, and payroll taxes to programs.
• Reconcile payroll allocations to reports and G/L.
• Prepare project invoices and billing documentation in accordance with contracts.
• Maintain a billing calendar and coordinate approvals.
• Maintain AR records and follow up on overdue invoices.
• Prepare balance sheet reconciliations and support month-end close.
• Produce project profitability and cash-flow reports.
