Job summary

BerryDunn is seeking a highly organized Proposal Coordinator to join our Business Development team. You will support proposal development, prepare shell outlines, gather content, and develop proposal graphics to deliver high-quality submissions under tight deadlines.

The role may be based in Portland, Maine, another BerryDunn office, or remote in certain circumstances, reporting to a Cohort Manager within BerryDunn's Business Development Department.

Qualifications

• Bachelor's degree in Communications, Marketing, English, Journalism, or a related field or equivalent experience.
• Strong writing, editing, organization, analytical, communication, and interpersonal skills.
• Exceptional attention to detail and ability to follow detailed instructions and requirements.
• Strong time management with multiple priorities in a fast-paced environment.
• Ability to collaborate with remote and/or traveling team members across locations/time zones.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and collaboratively with high accuracy.
• Curiosity, adaptability, and commitment to continuous learning.

Responsibilities

• Conduct prospective client research to support proposal leads and pursuit efforts.
• Prepare proposal shell outlines and supporting materials per requirements and templates.
• Organize and maintain proposal content from internal resources and approved repositories.
• Develop proposal graphics, org charts, and overviews aligned with branding standards.
• Format staff and subcontractor resumes per solicitation requirements.
• Coordinate activities with proposal team to meet deadlines.
• Review materials for formatting, completeness, and compliance with instructions.
• Submit proposal content through approved content management systems.
