Job summary

UC Funds seeks a fully remote, off‑site property administrator for ONE CLUB Gulf Shores, a large multifamily asset managed by UC Funds. The role operates as the off‑site half of a hybrid, with on‑site team handling maintenance and physical tasks.

You’ll own AR/AP, invoicing, delinquency, move‑in/out accounting, monthly reporting, leasing inquiries, and renewals, working US Eastern hours and coordinating with the on‑site team to ensure smooth operations.

Qualifications

• Hands-on Yardi experience and live-property workflows.
• Experience managing large multifamily operations at scale.
• AR/AP, delinquency, move‑in/move‑out accounting and month‑end reporting.
• US residential lease lifecycle from applications to renewals.
• Professional English communication and remote collaboration.

Responsibilities

• Run the property's financial administration in Yardi — AR/AP, invoice processing, delinquency follow‑up, move‑in and move‑out accounting, month‑end reporting and reconciliation.
• Produce a monthly reporting pack that is accurate and on time, and improve on what exists today.
• Administer the lease lifecycle end to end: applications and screening, lease generation and renewals, notices, move‑ins and move‑outs, deposit handling.
• Own the leasing enquiry pipeline — respond fast, follow up persistently, keep prospects moving toward a signed lease, including through virtual tours and listing platforms.
• Stay in contact with current residents so renewals are worked rather than waited for.
• Handle difficult resident conversations by phone — complaints, arrears, and the times when the answer is no — and keep them professional.
• Assign, chase and verify vendor work, and check invoices against what was actually done.
• Coordinate with the on‑site maintenance and leasing team, escalating what genuinely needs a person on the ground.
• Keep records, reports and files in a state where someone else could pick them up.
