Job summary

ARCXIS, a national engineering and inspections firm, seeks an experienced Private Provider Project Coordinator to join our Third-Party Private Provider Inspection Team. This fully remote, full-time hourly role supports scheduling, permit verification, document management, and closeout activities.

You will coordinate with field staff and building departments, ensure timely inspections, and maintain clear communication with clients and stakeholders.

Qualifications

• High school diploma or equivalent required.
• Experience in construction administration, project coordination, or private provider services a plus.
• Customer service oriented with strong verbal and written communication skills.
• Strong organizational and multitasking skills with keen attention to detail.
• Ability to work independently with multiple projects per day.
• Comfort using technology on computers, tablets, and smartphones.

Responsibilities

• Manage jobsite paperwork including obtaining permit numbers, addresses of projects, creation of jobsites in internal operating system, downloading/uploading purchase orders from various vendor portals.
• Verify job permits via the AHJ portal to confirm documentation is approved, permit valid, and no outstanding conditions or fees.
• Schedule inspections via internal system and notify AHJ within preferred form of communication and deadlines.
• Ensure all required documents are uploaded to internal system based on project scope.
• Process the Certificate of Compliance after inspections.
• Monitor communication channels to satisfy client requests.
• Process power releases upon completion of power release inspections as required.
• Communicate clearly with clients, residents, building departments and stakeholders.
• Provide logistical and administrative support to field staff for a smooth inspection process.
