Job summary

ARCXIS is seeking an experienced Private Provider Project Coordinator to join our Third-Party Private Provider Inspection Team. This remote role manages permits, schedules inspections, uploads documents, and supports field staff to ensure compliant, timely inspections.

You will verify permits in AHJ portals, coordinate with building departments and clients, and process certificates of compliance. The position offers full-time hourly employment, with 40 hours per week and a fully remote work

Qualifications

• High school diploma or equivalent.
• Experience in construction administration, project coordination, private provider services or related role is a plus.
• Customer service oriented with strong verbal and written communication skills.
• Strong organizational and multitasking skills with keen attention to detail.
• Ability to work independently (but fully supported) and manage multiple projects per day.
• Strong comfort level using technology including computers, tablets, and smartphones.

Responsibilities

• Management of jobsite paperwork including obtaining permit numbers, addresses of projects, creation of jobsites in internal operating system, downloading/uploading purchase orders from various vendor portals.
• Verify job permits via the AHJ portal to confirm documentation is approved and permit is valid.
• Schedule inspections via internal system and notify AHJ within preferred form of communication and deadlines.
• Ensure all required documents are uploaded to the internal system based on project scope.
• Process the Certificate of Compliance after inspections are completed.
• Monitor communication channels to satisfy client requests.
• Process power releases upon completion of power release inspections as required.
• Communicate clearly with clients, residents, building departments and stakeholders.
• Provide logistical and administrative support to field staff including coordination of schedules and documentation.
• Assist with other service lines to support project needs.
