Qualifications

• High school diploma or GED or equivalent working knowledge.
• Excellent communication, interpersonal, attention to detail and organizational skills required.
• Ability to handle confidential information and coordinate processes; proficient with common office and hospital software for scheduling and billing.
• Role may require travel within the local community for mobile medical unit support.

Responsibilities

• Provide personalized coordination, clarification and communication of all administrative aspects of care, including patient needs assessments, insurance and authorization verification, registration, documentation handling, and scheduling of appointments.
• Coordinate with the clinical care team to ensure a seamless patient experience across the continuum of care and assist with resources to help patients maintain optimal care.
• Perform follow-up tasks identified during the patient needs assessment and support management of patients across the healthcare continuum.
• Perform patient intake, including pre-registration/registration, and obtain patient insurance benefit information for all treatment aspects.
• Answer questions regarding the authorization process and provide information to providers, patients and third-party payors.
• Serve as a resource for insurance coverage, obtain authorizations and notifications, obtain signatures and documentation, and document information in the patient records system to ensure reimbursement.
• Monitor and update insurance data, authorizations, preferred providers and changes in the patient’s treatment plan; collaborate with clinical team and insurance providers to ensure continued coverage and minimize financial impact to the patient.
• Maintain administrative materials and support documentation, including routine correspondence, spreadsheets, routine reports, and electronic records related to billing and data management.
• Schedule physician appointments, tests, procedures and surgeries; provide patients with necessary preparation instructions; manage patient documentation in department databases; liaise between patient, billing, and payors to optimize accounts receivable and resolve issues.
• Enhance patient experience through proactive, confidential communication with patients, departments, referral networks and providers; resolve scheduling conflicts as needed.
• May manage medical records for the assigned area and coordinate with hospitals and practice offices to obtain needed records; respond to referral requests for tests, procedures and specialty visits; assist in ensuring compliance with state and federal laws and reconcile charge tickets as needed.
• Work independently under general supervision, using established procedures to coordinate administrative functions supporting patient needs assessments, insurance verification, registration, documentation, financial counseling, and scheduling.
