Job summary

The Maine Monitor, operated by The Maine Center for Public Interest Reporting, seeks an Operations Manager to lead HR and operations, reporting to the Director of Finance and Operations. The role oversees processes, budgets, and technology tools to support mission-driven work in Maine.

This full-time, exempt position offers remote work within Maine with periodic in-person presence in Augusta, plus comprehensive benefits including health, dental, vision, and retirement plans.

Qualifications

  • Three to five years of experience in nonprofit administration, business management, human resources, executive support or similar roles.
  • College degree in a relevant field.
  • Excellent task and project management skills.
  • Customer-service mindset and solutions-focused in working with colleagues, vendors, partners, subscribers, and donors.
  • Attention to detail and a strong commitment to data integrity.
  • Ability to work both individually and in a team environment.

Responsibilities

  • Streamlining processes, maintaining standard operating procedures and implementing improvements to enhance operational efficiency.
  • Implementing and maintaining technology tools (e.g., CRM systems, project management software) to streamline workflows.
  • Managing and approving employee reimbursements for travel and other expenses.
  • Assisting in development of project budgets for use in grant proposals, fundraising and grant reports.
  • Creating processes and issuing invoices for payments.
  • Overseeing administrative and operational processes, with a goal of continuously developing and improving systems.
  • Managing recruitment of staff, soliciting requirements from the leadership team, promoting available positions and managing evaluation and selection process.
  • Overseeing onboarding and orientation of new employees.
  • Maintaining and updating employee handbooks.
  • Partnering with DFO and the rest of the management team to ensure the organization is focused on its mission while maintaining the work culture.
  • Overseeing freelance contributor contracting.
  • Managing and continuously improving the employee evaluation system, including annual employee goals and evaluation.
  • Overseeing administrative functions as well as facilities to ensure efficient and consistent operations as the organization grows.
