Job summary

HighLevel, a remote-first AI-powered business operating system, is seeking an Exhibitor & Sponsor Support specialist to join our events team. You will manage inquiries, coordinate onboarding, and provide on-site and remote support for exhibitors and sponsors at HighLevel events.

Ideal candidates have 1–3 years in sales support or event coordination, strong communication, detail orientation, and the ability to work independently in a fast-paced, fully remote environment.

Qualifications

• 1–3 years in sales support, account coordination, or administrative sales.
• Experience in event coordination, hospitality, or customer-facing environment is a plus.
• High school diploma or equivalent required; BA in related field strongly preferred.
• SaaS or high-growth experience is a plus.
• Some travel required to support internal HighLevel events.

Responsibilities

• Manage exhibitor and sponsor email inbox and respond to inquiries promptly.
• Handle inbound site inquiries and reactive leads; triage and route accordingly.
• Assist onboarding of new exhibitors and sponsors using templates and guidelines.
• Set discovery and follow-up appointments for the Senior Manager, Field Event Sales.
• Provide on-site operational support for exhibitors and sponsors at events.
• Track unsigned contracts and follow up to move deals forward.
• Ensure deposits are collected per agreed timelines.
• Maintain contract status records and payment activity.
• Own deliverable tracking cadence and dashboards for visibility.
• Escalate issues to the Senior Manager when needed.
• Coordinate with Events, Marketing, Billing; attend regular meetings.
• Support vendor and sponsor communication with the Events team.
• Maintain internal docs and CRM records; suggest process improvements.
• Follow compliance guidelines and ensure required approvals.
