Job summary

Conference Catalysts is seeking an Associate Conference Manager who will support Conference Managers and the Director – Conference Management Operations from conception through completion. The role leads toward a Junior Conference Manager position within the Conference Management Unit.

Responsibilities include coordinating conferences, managing budgets, liaising with clients, and overseeing registration, vendors, and communications to ensure successful events.

Qualifications

• Bachelor’s degree in a relevant field or equivalent combination of education and experience.
• Strong communication, organization, and client-facing skills.
• Solid project management abilities with multiple tasks and deadlines.

Responsibilities

• Meet weekly with Director to provide status updates and discuss priorities.
• Attend weekly Unit, team, and All-Company meetings and participate actively.
• Maintain accurate time records and track support requirements for each client.
• Liaise with clients to capture precise conference requirements and timelines.
• Configure online registration, manage budgets, and coordinate vendors.
• Develop conference budgets and ensure projects stay on schedule and on budget.
• Plan room layouts, menus, volunteer needs, sponsorships, and collateral.
• Coordinate conference websites, social media, and marketing alignments.
