HireHawk connects professionals with US companies for long-term remote roles. We are seeking a dedicated assistant to one of our clients, a Los Angeles–based personal injury firm. You will handle scheduling, medical records, and file work, enabling the case manager to focus on moving the case forward.

This is a remote, full-time position aligned with US Pacific Time. The role offers growth within a stable team and requires strong English, organization, and familiarity with case management

Qualifications

• At least 2 years supporting case managers at a US personal injury law firm.
• Hands-on experience scheduling medical appointments and requesting medical records and bills.
• Strong written and spoken English.
• Organized and detail-oriented, with reliable follow-through across many active cases.
• Proficient with Microsoft Office or Google Workspace and a legal case management platform.
• Full-time availability during US Pacific business hours, with reliable internet and a dedicated workspace.

Responsibilities

• Schedule client medical appointments and keep treatment calendars up to date.
• Request medical records and bills, and follow up with providers until they arrive.
• Keep case files organized and current in the firm's case management software.
• Track deadlines and outstanding items, and flag anything at risk to the case manager.
• Communicate with clients, medical providers and insurance representatives to collect missing information.
• Prepare correspondence, forms and simple status updates.
• Protect client confidentiality at all times.
