Talentoma is seeking a fully remote Call Center Coordination specialist based in Utah. The role involves managing phone queues, emails, and scheduling through shared systems, ensuring smooth handoffs and timely follow-ups.

You will work with the customer service team under a team lead, coordinating appointments and keeping records up to date. The position requires a 40-hour weekly commitment, strong communication, and experience with RingCentral, Salesforce, and Outlook.

Qualifications

• High school diploma or equivalent.
• 1–2 years in call center, customer service coordination, or appointment scheduling.
• Familiar with contact-center phone systems and shared calendars.
• Clear spoken and written communication; ability to write concise notes.
• Authorized to work in the United States.
• Fully remote, work from Utah with 40-hour weekly commitment.
• Structured onboarding on systems, queue procedures, and escalation expectations.

Responsibilities

• Review incoming call queues, voicemails, and emails to identify callback requests and scheduling needs.
• Coordinate queue coverage using a call system, checking representative availability and alerting when waiting calls build up.
• Confirm contact details, reason for request, and service details before arranging next steps or handoffs.
• Update CRM with concise notes about questions, attempts, and actions.
• Organize appointments and callbacks using Outlook, checking availability to avoid overlaps.
• Send appointment confirmations and reminders with clear purpose and change options.
• Follow up on missed connections and unresolved requests, recording attempts and updating the team lead.
• Escalate repeated missed callbacks and unresolved concerns with context and steps.
