• Fluency in English and French with strong written and verbal communication.
• 5+ years in healthcare, medical administration, or care coordination.
• Proven track record of high-quality customer service and trust-building.
• Empathy, emotional intelligence, and sensitivity to client stress.
• Experience guiding clients through a service journey and maintaining engagement.
• Experience with healthcare customer service or supporting vulnerable populations.

Responsibilities

• Provide empathetic, client-centred support to individuals navigating mental health services.
• Guide prospective clients through intake, clarify expectations, and encourage therapy exploration.
• Conduct intake conversations by phone or video, match individuals with therapists.
• Manage English and French communications via calls, emails, and live chats.
• Coordinate therapist and clinic schedules, manage waitlists, and resolve scheduling conflicts.
• Ensure accurate appointment scheduling and address changes promptly.
• Monitor insurance verification and billing communications for smooth processes.
• Manage virtual therapy rooms and troubleshoot technical issues for reliable online sessions.
• Provide admin support to therapists and collaborate with clinicians and ops for care coordination.
• Maintain organized inboxes, task queues, and daily tracking records with clear handovers.
• Uphold confidentiality and professional standards for sensitive client information.
