Job summary

Mannix Marketing, a fully remote digital marketing and web development agency based in Upstate New York, seeks an accounting professional to own billing and receivables. You will work with the CFO to ensure accurate billing, timely collections, and month-end close, performing recurring tasks and driving process improvements.

Responsibilities include managing AR, processing payments, configuring ARBs, vendor bills, and preparing monthly/quarterly reports, while collaborating with the finance team

Qualifications

• 3+ years of hands-on QuickBooks Online experience with reports and memorized transactions
• Direct accounts receivable experience including customer-facing collections
• Proficiency in Google Sheets with formulas and data organization
• Experience with AP, bill entry, and reconciliation
• Ability to manage a recurring, deadline-driven workload independently
• Strong attention to detail and follow-up on discrepancies
• Authorized to work in the United States; residency in eligible states

Responsibilities

• Manage past-due accounts via QuickBooks Online Collections Center with outreach and follow-up
• Record incoming payments (checks, e-checks, credit cards) in QBO and deposits
• Run recurring billing reports and handle new billing, changes, and cancellations
• Set up and maintain Automated Recurring Billing (ARBs) and recurring transactions
• Enter vendor and contractor bills in QBO, collect W-9s, and record referrals
• File employee credit card receipts and enter charges in QBO
• Prepare monthly and quarterly reports including Tourism billing, Sales Tax Gross Up, and ad spend reconciliation
• Enter end-of-month commissions data and audit commission sheets
• Enter scorecard data and complete NYS Contract System audits as needed
• Audit domain names and Google accounts billed through Mannix to confirm memorized and invoiced
• Support monthly close, year-end tax prep, and audits
• Build and maintain Google Sheets tracking systems and recommend automation for routine tasks
• Document billing activity and client updates in our CRM
• Participate in regular finance team check-ins
