Job summary

Jobtailor is seeking Lead Registration Specialists to deliver superior patient registration and service at our Front Royal urgent care site. You will supervise daily registration duties, collaborate with Clinical, Provider, and other teams, and support training across locations to maintain consistency and quality.

You will protect patient confidentiality, ensure accurate billing, handle inquiries, and drive patient satisfaction scores through effective leadership, scheduling, and performance

Qualifications

  • Demonstrates knowledge of patient registration processes and billing workflows.
  • Experience supervising staff in a hospital or healthcare setting is preferred.
  • Knowledge of CPT and ICD-9 coding is required or desired.

Responsibilities

  • Lead Registration Specialists in providing superior customer service.
  • Collaborate with Clinical, Provider, and other departments to provide seamless, high-quality patient care.
  • Collaborate with leadership team members from other locations to ensure consistency in service.
  • Travel to other Urgent Care sites for training and coverage as needed.
  • Achieve patient satisfaction scores measured by surveys and reported monthly.
  • Coordinate daily registration duties, including prompt and accurate patient reception and registration.
  • Maintain confidentiality of patient files and ensure accurate, timely billing.
  • Answer and route incoming telephone calls and take accurate messages.
  • Prepare and communicate downtime registration procedures.
  • Respond to customer and medical staff complaints related to registration processes.
  • Review department policies and procedures.
  • Audit charts and cashier closeout sheets daily for registration accuracy, collected monies, and missed charges.
  • Prepare and post receptionist work schedules monthly.
  • Conduct employee performance evaluations, counseling, discipline, training, orientation, interviews, and reception meetings.
  • Maintain supplies and equipment and coordinate repairs and service needs.
  • Work with Information Systems to ensure proper operation of department computers and equipment.
  • Provide budget input regarding projections, staffing, expenses, equipment, and contingencies.
  • Maintain staffing levels and schedules within FTE and salary expense budgets.
  • Cross-train in all areas of the Urgent Care Center as needed.
  • Meet the VRE patient satisfaction goal.

Requirements
  • High school graduate or equivalent
  • College or business/office administration courses preferred
  • Two (2) years medical office or healthcare experience required
  • Two (2) years supervisory experience in a hospital or other setting preferred
  • Valid driver's license and reliable transportation required
  • Types or word-processes 40 wpm preferred
  • Demonstrates knowledge of filing systems and methods, computers, and other common office equipment
  • Demonstrates effective human relation skills
  • Knowledge of CPT and IC-9 coding
