Franklin Park Conservatory is seeking a Registration and Scheduling Coordinator to manage registrations, scheduling, and facility reservations for youth programs, Summer Camp, Nature School, and field trips. You will serve as the primary contact for schools, families, and partners, ensuring a smooth experience from registration through program completion.
This role requires strong organizational skills, comfort with Momentus Elite, Volgistics, and Tessitura, and a focus on accurate data entry

The Registration and Scheduling Coordinator is responsible for coordinating registration scheduling facility reservations and administrative support for a variety of youth and educational programs including school field trips Summer Camp Nature School outreach programs and other youth focused experiences This position serves as a key point of contact for participants schools families and community organizations ensuring a seamless customer experience from registration through program completion This role also manages invoicing payment tracking and related accounting functions to support accurate and timely financial processing The ideal candidate is highly organized detail oriented comfortable working with multiple software platforms and committed to providing exceptional customer service The Registration and Scheduling Coordinator works collaboratively with the Community Outreach and Education team and other Conservatory departments to support the successful delivery of educational and recreational programming Additional Information This is a full time non exempt position This position is eligible for the Conservatorys benefit package offered to full time employees which includes medical dental and vision insurance company paid LifeAD&DShort Term and Long Term Disability insurance participation in the Ohio Public Employees Retirement Program OPERS optional 457b Deferred Compensation plan generous Paid Time Off PTO and complimentary membership to the Conservatory Compensation19hour paid biweekly
Under the direction of the Associate Director of Youth Programs Coordinate and maintain program schedules registrations transportation logistics and calendars to ensure efficient operations and optimal use of organizational resources Manage program enrollment waitlists participant records and communications with schools families and community organizations Serve as a primary point of contact for registration inquiries scheduling requests program changes cancellations and participant support Assist with on site program logistics including greeting buses and groups coordinating with internal departments preparing materials and communicating scheduling needs with education staff Handle program related accounting tasks including issuing invoices and payment reminders processing registrations and payments following up on outstanding balances ensuring payments are accurately recorded assisting with account reconciliation resolving payment discrepancies Maintain accurate records databases contracts registration information attendance records and program documentation Track participation data expenses program utilization revenues statistics and trends to support reporting and operational decision making Collaborate with Community Outreach and Education staff and other Conservatory departments to ensure effective coordination across all youth and educational programs Occasionally assist with the delivery of educational programming for Pre K through Grade 12 participants Perform other duties as assigned
High School DiplomaGED required An Associates or Undergraduate Degree in a related field is a bonus Administrative work experience is required with a basic understanding of accounting processes 1 3 years experience working in an educational andor recreational setting is desirable
Ability to learn and navigate multiple software platforms Momentus Elite Volgistics and Tessitura and enter data with high degree of accuracy Proficient with Outlook Word Excel PowerPoint and other Microsoft applications Possesses a professional demeanor and highly developed interpersonal skills Ability to maintain accurate records databases and documents and to meet deadlines and stay on an exact schedule of events Ability to occasionally assist with educational programming Ability to pass a background check and fingerprinting Ability to work a flexible schedule weekends evenings and holiday sometimes required
