Dordt University is seeking a part-time Registrar Services Coordinator (20-24 hrs per week, year-round) to support daily registrar operations. Responsibilities

  • Assist students with academic planning, policies, and using the online advising system.
  • Maintain registrar intranet and external guides for students and faculty.
  • Train students, faculty, and staff on the online advising system.
  • Enter academic records for transfer students as needed.
  • Assist with end-of-term grades processing.
  • Process enrollment and registration for special programs and non-degree students.
  • Process transcript requests and enrollment verifications.
  • Cross-train with staff to provide backup for other office functions.

JOB DESCRIPTION

JOB TITLE: Registrar Services Coordinator (20-24 hrs a week, year-round)

DEPARTMENT: Registrar

REPORTS TO: Registrar

PURPOSE OF POSITION:

Supports the daily operations of the registrar’s office by assisting students and advisors with registration processes, maintaining accurate student records, and processing documents such as enrollment verifications and transcripts.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist enrolled students with academic planning, academic policies and procedures, and navigating the online advising system.
  • Keep the registrar’s office intranet and external web resources up to date, including updating the help guides for students and faculty regarding registration and advising.
  • Be a part of the team that trains students, faculty, and staff on the use of the online advising system.
  • Enter academic records for transfer students as needed.
  • Assist with the processing of grades at the end of each term.
  • Process individual study, off‑campus program, and other specialized registration.
  • Process registration and grade information for dual credit, consortium, and other non‑degree‑seeking students as needed.
  • Process transcript requests, verification of enrollments, and other forms as necessary.
  • Crosstrain with other staff in the registrar’s office to provide backup for other office functions as needed.

KNOWLEDGE, SKILLS AND ABILITIES:

  • A clear understanding and commitment to the Reformed perspective and mission of Dordt University and the ability to clearly articulate and communicate the mission effectively.
  • Ability to express an active Christian commitment, which shall include identification with a local organized church that holds to beliefs that are consistent with the mission of the university.
  • Prospective members of the Dordt University community are expected to agree with its sexuality, gender identity, and sexual conduct policy which can be found on the DU website (contact the HR Office if you need additional information).
  • Coursework in general clerical duties, computer use, and customer relations with a minimum of 3 years of related experience or an equivalent combination of education, experience, and training preferred.
  • Coordination skills needed for organizing and maintaining office records.
  • Computer skills including Microsoft Office, email, and the administrative software system used by the university.
  • Verbal and written communication skills.
  • Ability to establish and maintain effective working relationships with other people.
  • Ability to carry out detailed written and oral instructions.
  • Knowledge of standard office procedures.
