Job Summary

Performs administrative duties including referral processing, patient registration, benefits verification, insurance authorizations, appointment scheduling, communication with referral sources, and other tasks.

Essential Job Functions
  1. Maintains tracking and documentation on referrals, using an EMR database if applicable.
  2. Ensures complete and accurate patient registration.
  3. Gathers clinical background and referral needs; provides appropriate information to specialists.
  4. Contacts insurance companies for prior approvals, providing necessary medical information.
  5. Reviews referral details with patients.
  6. Assists patients with issues related to healthcare, finances, or social barriers.
  7. Acts as a system navigator and point of contact for patients and authorized individuals.
  8. May advocate on behalf of patients to ensure timely approval of services.
  9. Utilizes community resources and maintains relationships with service providers.
  10. Processes referrals promptly, aiming for completion within 90 days.
  11. Reminds patients of appointments via mail, phone, or text.
  12. Handles requests for medical records release and maintains logs.
  13. Performs other duties as assigned.
Minimum Requirements
  • High school diploma or GED.
  • Strong customer service skills.
  • Effective communication skills.
  • Teamwork orientation.
  • Organizational skills and ability to manage priorities.
  • Knowledge of medical terminology, ICD-10, and CPT coding.
  • Proficiency in electronic health records.
  • Ability to remain calm in emergencies.
  • Basic math skills.
  • Understanding of safe work practices.
  • Ability to follow through on delegated tasks.
Preferred Qualifications
  • At least 5 years in a medical customer service role.
  • Bilingual in English/Spanish preferred.
Physical & Mental Requirements
  • Required immunizations.
  • Ability to lift up to 50 pounds.
  • Ability to push or pull up to 100 pounds.
  • Ability to stand or sit for long periods.
  • Fine motor skills for operating equipment.
  • Ability to drive and operate a vehicle.
  • Ability to understand instructions and solve problems logically.
  • Occasional exposure to communicable diseases or bodily fluids.
  • Occasional travel for clinic activities.
