Position Overview
The Executive Search Coordinator works closely with our recruiting team and reports to the Director of Recruitment Operations. The Executive Search Coordinator assists with research, coordination, and project collaboration throughout the life cycle of the recruiting process for candidates and our law firm clients.
- Conduct complex internet searches using a wide range of search engines, social media, direct/cold calls, networks, directories, and recruitment tools and databases.
- Launch new job positions by posting opportunity announcements on external career boards, such as LinkedIn and Facebook.
- Send outreach messages to prospective candidates through email and LinkedIn messaging.
- Update and maintain administrative responsibilities, including applicant tracking system (ATS) data entry and reports.
- Draft marketing materials, client proposals, weekly client updates, and candidate presentation slates.
- Conduct candidate screens, assessing both substantive and cultural fit.
- Communicate and coordinate with candidates throughout the recruitment lifecycle, maintaining ongoing relationships by scheduling initial phone screens and providing regular updates with appropriate position details.
- Liaise between clients and candidates to schedule interviews.
- Complete a comprehensive professional training program through webinars and virtual training platforms.
- Maintain consistent and clear communication with virtual team members across time zones.
- Contribute to the search sales process under supervision, refining strategies based on feedback to support effective business growth.
- Attend virtual weekly team meetings and client intake calls.
- Perform additional tasks as requested by a Senior/Executive Search Associate.

- Ability to manage tasks efficiently in a full-time remote capacity during standard business hours.

- Proficiency in utilizing LinkedIn and other social media platforms as recruitment tools.
- Ability to clearly communicate project updates and statuses within a team setting.
- Adaptable communication style to effectively engage with diverse backgrounds, focusing on client needs and service quality.
- Ability to identify upselling and cross-selling opportunities that align with client needs.
- Demonstrated commitment to honesty, integrity, and accountability in all tasks.
- Strict adherence to data governance standards and client confidentiality protocols.
Preferred Skills/Abilities
- Basic knowledge of recruitment processes and project management best practices.
- Ability to take ownership of straightforward assignments with guidance, developing confidence in task management and workflow collaboration.
- Strong networking and relationship-building skills.
- Familiarity with tracking recruitment metrics such as time-to-fill and response rates, with a growing understanding of data-driven recruiting.
- Foundational understanding of employer branding principles, supporting branding initiatives in recruitment.
Travel
- Attend Calibrates semiannual in-person retreat and other assigned professional conferences.
- All work travel and associated expenses will be paid by Calibrate Strategies.
Education and Experience
- College degree and at least two (5) years’ experience required, preferably with recruiting or legal industry experience.
