The ideal candidate is a dynamic, personable, and proactive professional who thrives in a fast-paced environment, enjoys working with people, and takes pride in keeping multiple moving pieces organized. While exposure to recruiting is beneficial, this is primarily an administrative and coordination-focused role, making it an excellent opportunity for someone with strong organizational skills looking to build a career in Talent Acquisition.

We are looking for someone who brings more than just administrative experience. Personality, initiative, responsiveness, attention to detail, and the ability to anticipate needs are essential to success in this position.

What You’ll be Owning:
  • Provide comprehensive administrative and operational support to the Talent Acquisition team throughout the recruitment lifecycle.
  • Coordinate and schedule candidate interviews across multiple departments, hiring managers, and executive stakeholders.
  • Manage complex interview schedules, calendar invitations, meeting logistics, and candidate communications.
  • Serve as a primary point of contact for candidates regarding interview scheduling, logistics, and next steps.
  • Prepare and distribute interview confirmations, schedules, candidate materials, and other recruiting documentation.
  • Maintain accurate candidate records, interview statuses, and recruitment activity within the Applicant Tracking System (ATS).
  • Assist with the preparation of offer letters, onboarding documentation, background check coordination, and pre-employment activities.
  • Monitor recruiting inboxes, respond to inquiries, and ensure timely follow-up on outstanding administrative tasks.
Candidate Experience & Communication
  • Deliver an exceptional candidate experience by maintaining professional, responsive, and friendly communication throughout the interview process.
  • Coordinate communication between recruiters, hiring managers, candidates, and other internal stakeholders.
  • Ensure candidates receive timely updates, clear instructions, and all necessary information ahead of interviews.
  • Proactively identify and resolve scheduling conflicts, logistical challenges, and other issues that could disrupt the recruiting process.
  • Represent the organization professionally in all candidate interactions.
Recruiting Operations & Process Support
  • Maintain organized recruiting documentation, tracking reports, and administrative records.
  • Support the Talent Acquisition team with job postings, candidate tracking, interview feedback collection, and recruiting-related reporting.
  • Assist with recruitment events, career fairs, campus recruiting initiatives, and other talent acquisition activities as needed.
  • Identify opportunities to streamline scheduling, improve administrative workflows, and enhance the overall recruiting experience.
  • Partner with HR and Talent Acquisition leadership on special projects and evolving departmental priorities.
  • Ensure accuracy, confidentiality, and professionalism when handling sensitive candidate and employee information.
What You’ll Bring to the Table:
  • Minimum of 1 year of professional experience in an administrative, recruiting, human resources, office coordination, or similar support-oriented role.
  • Strong organizational skills with the ability to manage multiple calendars, priorities, and deadlines simultaneously.
  • Excellent written and verbal communication skills with a polished, professional, and personable demeanor.
  • High attention to detail and a demonstrated ability to maintain accurate records and follow through on tasks.
  • Proficiency in Microsoft Office, particularly Outlook, Excel, Word, and Teams.
  • A proactive, resourceful, and solutions-oriented approach to work.
  • Strong interpersonal skills and the ability to interact professionally with candidates, hiring managers, and senior leadership.
  • Ability to work in person in the Cleveland, Ohio area.
Preferred:
  • Previous experience in recruiting coordination, talent acquisition, human resources, or executive administrative support.
  • Familiarity with Applicant Tracking Systems (ATS) or other HR technology platforms.
  • Experience coordinating interviews, managing complex schedules, or supporting multiple stakeholders.
  • Background in financial services, professional services, or a fast-paced corporate environment.
