Job summary

Quince is seeking a Recruiting Systems Administrator to own the day-to-day administration of our talent acquisition tech stack, serving as the go-to expert for Greenhouse (ATS), ModernLoop (interview scheduling), and in-house tools. You will keep these systems configured, connected, and running cleanly so recruiters and coordinators can move fast as we scale.

Qualifications

• 5+ years of experience administering recruiting or HR systems; hands-on Greenhouse or similar ATS experience.
• Strong knowledge of ModernLoop and interview scheduling configuration.
• Experience managing user access, permissions, and workflow configuration in SaaS platforms.
• Track record of improving data hygiene and building reporting-ready processes.
• Experience supporting integrations between systems and coordinating with vendors on troubleshooting.
• Automation mindset with comfort using AI-enabled tools to streamline repetitive work.
• Excellent problem-solving and attention to detail; ability to translate recruiter needs into system solutions.
• Clear written communication and documentation practices for scaling teams.

Responsibilities

• Administer and configure Greenhouse, ModernLoop, and adjacent recruiting tools; manage templates, interview plans, scorecards, approvals, and permissions.
• Manage user access, roles, and permission groups across the TA stack; ensure proper offboarding.
• Build and maintain recruiting workflows and automations to reduce manual steps for recruiters and coordinators.
• Own data hygiene in the ATS, including deduplication, field standardization, and routine audits.
• Support integrations between recruiting tools and downstream systems; partner with Systems Engineers on data feeds.
• Provide tier-one support for recruiter questions; triage issues and escalate with context.
• Coordinate with vendors on support tickets, release management, and feature rollouts.
• Document system configurations, SOPs, and training materials for scalability.
• Identify opportunities to automate recruiting operations using AI-enabled tooling.
