Base pay range

$75,000.00/yr - $85,000.00/yr

Overview

We are seeking a highly organized and detail-oriented Recruiting Specialist to support our end-to-end recruitment operations. This role will play a key part in ensuring a seamless candidate and interviewer experience by managing templates and systems, coordinating interviews, screening candidates, and supporting employer branding initiatives. The ideal candidate is process-driven, tech-savvy, and thrives in a fast-paced, high-touch recruiting environment.

Key Responsibilities

  • Template & Process Management
    • Organize and maintain up-to-date recruitment templates (emails, feedback forms, interview guides, etc.)
    • Ensure consistency and quality across candidate communications and internal tools
  • Candidate Workflow Support
    • Conduct initial resume screens and candidate outreach
    • Disposition candidates appropriately in our Applicant Tracking System (ATS)
    • Support passive candidate engagement through proactive outreach to talent pools
  • Interview Coordination
    • Manage scheduling logistics and handle interview reschedule requests
    • Send reminders and check-ins to candidates and interviewers
    • Gather timely interviewer feedback and audit for completeness and quality
  • Offer Process Support
    • Generate and send offer letters
    • Partner with Talent Acquisition Manager to ensure smooth offer delivery
  • Talent Branding & Systems Support
    • Assist in employer branding efforts on external sites such as LinkedIn and Glassdoor
    • Help set up and manage recruiting-related accounts and tools (e.g., Handshake, job boards, etc.)
    • Assist with internship program coordination, including scheduling, communications, and event logistics
    • Support career fairs and university recruiting initiatives, as needed
Minimum Qualifications

  • 1-2 years of experience in recruiting coordination, HR support, or a related role
  • Availability to work full-time, in person at our San Ramon office; potential for one remote day after an initial period based on performance and team needs
  • Strong organizational and multitasking skills
  • Clear, professional written and verbal communication
  • Proactive and responsive with a focus on delivering excellent candidate experience
  • Comfort with fast-paced, high-growth environments and shifting priorities
  • Willingness to travel occasionally to attend career fairs and recruiting events

Preferred Qualifications

  • 2-3 years of experience in recruiting coordination, HR support, or a related role
  • Experience with Applicant Tracking Systems (e.g., ADP, Ashby, Greenhouse, Lever, Workday)
  • Familiarity with LinkedIn Recruiter or Handshake
