Job summary

Summit Medical Group is seeking a Talent Acquisition Coordinator to support recruiting logistics, candidate coordination, onboarding administration, data management, and program support. This role serves as the administrative backbone of the Talent Acquisition function, enabling recruiters to focus on sourcing, engagement, and hiring activities.

A strong customer service orientation and confidentiality are essential.

Qualifications

• 1 year of healthcare/HR/data entry/office experience preferred.
• Strong customer service mindset and candidate experience focus.
• Excellent organizational and time-management skills.
• Excellent verbal, written and interpersonal communication skills.
• Proficient with Microsoft Office; HRIS/ATS experience preferred (UKG preferred).
• Ability to maintain confidentiality and exercise discretion with sensitive information.
• Ability to work independently and as part of a team.

Responsibilities

• Manage interview scheduling, candidate communications, offer documentation, onboarding paperwork, recruiting event logistics, and administrative activities to support recruiters.
• Coordinate onboarding progress and readiness for a new employee’s first day.
• Maintain accurate data in HRIS, ATS, and related systems with timely record upkeep.
• Prepare, distribute, and maintain reports related to recruiting and onboarding activities.
• Coordinate physician/provider candidate site visits and related logistics for a positive candidate experience.
• Coordinate onboarding and orientation logistics including scheduling and documentation.
• Provide administrative support across recruitment lifecycle and maintain recruiting workflows.
• Coordinate student, resident, externship, internship and workforce development programs.
• Assist in recruitment marketing materials and event resources.
• Coordinate recruiting events, career fairs, and engagement activities; manage registrations.
• Assist in social media and recruitment marketing metrics reporting.
• Process, maintain, and distribute HR records and documentation with confidentiality.
• Participate in departmental meetings, trainings, and events; substitute receptionists when needed.
• Perform other related duties as assigned.
