Job summary

OpenAI in San Francisco is seeking a Recruiting Coordinator to focus on scheduling interviews, managing onsite logistics, and scaling recruiting programs. You will partner with recruiters, sourcers, interviewers and hiring managers to ensure an exceptional candidate experience.

This non-exempt, hourly role based on a 40-hour week may include overtime. The ideal candidate is highly organized, discreet, and collaborative, able to streamline processes and support senior and executive level

Qualifications

• 5+ years of recruiting coordination experience, including scaling processes and driving operational improvements across teams.
• Highly skilled in tools like Google Calendar, Guide, Ashby, Slack, and Notion with demonstrated ability to handle high-volume tasks efficiently.
• Strong communication and interpersonal skills, especially with senior level candidates and stakeholders.
• Highly organized and able to prioritize tasks while adapting to changing demands.
• Detail-oriented and proactive in addressing challenges.
• Collaborative mindset to enhance coordination processes.
• Discretion when working with senior and executive level candidates.

Responsibilities

• Own scheduling end-to-end for evergreen and opportunistic hiring needs.
• Partner for recruiting ops problems and help find solutions through data, tools, and collaboration.
• Greet candidates onsite to provide a welcoming interview experience.
• Be the primary scheduling and interview planner for Recruiters and Hiring Managers across the Robotics team.
• Use tools like Ashby, Guide, ChatGPT, and G-Suite to uphold a timely and positive hiring experience.
• Problem solve and adapt to an ever-changing environment while maintaining confidentiality.
• Maintain clear, concise, timely, and professional communication with candidates and hiring partners.
• Handle candidate reimbursement & travel (domestic and international).
• Work with Executive Operations to support and improve candidate experience for senior/executive level candidates.
