Job description

Position Summary

The Recruiting Coordinator manages employee-related processes, maintains records and reports, and supports employees throughout their employment lifecycle while ensuring confidentiality. They assist the recruiting team through various stages, including scheduling interviews, managing candidate workflows within the applicant tracking system, and onboarding.

Duties & Responsibilities
Pre-Hire Duties:
  • Support HRIS functions by launching and managing new hire paperwork for accuracy and completeness.
  • Audit recruiting team submissions to ensure data accuracy and completeness.
  • Maintain and upload documents to employee files, ensuring confidentiality.
  • Send welcome emails to new hires with essential start information and address outstanding items.
  • Coordinate workspace preparations with the recruiting team for new hires.
  • Manage tracking and ordering of nametags and onboarding materials for new hires.
  • Coordinate details with managers and provide necessary support.
Onboarding/Recruiting Support Duties:
  • Manage branded merchandise distribution to new hires.
  • Schedule interviews and screenings with candidates and internal partners.
  • Oversee Form I-9 completion to ensure compliance.
  • Address HR-related inquiries professionally and promptly.
  • Manage contract and temporary hiring processes.
  • Create and maintain organizational charts and reports.
  • Prepare and submit IT service tickets.
  • Update internal communications on the company's intranet.
  • Maintain employee records in Workday, including new hires, transfers, and name changes.
  • Handle confidential and non-routine information appropriately.
  • Develop reports, spreadsheets, presentations, and other documentation using Microsoft Office.
  • Complete assignments professionally and prioritize effectively.
  • Perform other duties as assigned.
Education & Experience
  • Experience supporting HR, recruiting, or onboarding roles.
  • Experience in fast-paced, service-oriented environments is a plus.
  • Strong communication and customer service skills.
  • Ability to maintain confidentiality, multi-task, follow up diligently, and organize effectively.
  • Ability to work under time pressures.
  • Preferred education: Associate's degree in HR, communication, business, or related fields, or equivalent work experience.
  • Familiarity with HRIS platforms like Workday or UltiPro is preferred.
  • Proficiency in Microsoft Office required.
Compensation and Benefits

Salary ranges from $23 to $28 per hour, based on experience and qualifications. The role may include bonuses or incentives based on performance.
