Overview

Objective

The Recruiting Coordinator (Onboarding Support and Vendor Mgmt) is responsible for the administration and coordination of the recruitment and onboarding process to ensure a seamless and positive candidate experience from the moment of hire through the initial stages of employment. The incumbent in this role will coordinate with hiring managers, people operations teams, and candidates to ensure timely communication, proper documentation, and successful integration of new employees into the company.


Responsibilities

Recruitment Process Management:
o Source, screen, and interview potential candidates to ensure they align with the job requirements.
o Collaborate with hiring managers to understand hiring needs and provide insights on talent acquisition strategies.
o Maintain applicant tracking systems (ATS) to ensure all recruitment activities are documented and compliant with company policies.
o Coordinate with external recruitment agencies when necessary to fulfill hiring needs.


Onboarding Coordination:
o Serve as the primary point of contact for new hires during the onboarding process, ensuring they have a smooth transition into the company.
o Coordinate the preparation and distribution of onboarding materials, such as offer letters, contracts, company policies, and benefits packages.
o Ensure all pre-employment checks (background checks, reference checks, etc.) are completed and compliant with legal and company standards.


New Hire Orientation:
o Plan and facilitate new hire orientation sessions to introduce new employees to company culture, policies, and procedures.
o Collaborate with various departments (IT, POPs) to ensure all necessary resources (equipment, access credentials) are prepared for the new hire's first day.


Employee Engagement and Support:
o Act as a resource for new hires, answering questions and resolving any onboarding-related concerns.

o Gather feedback from new hires and hiring managers to continuously improve the onboarding experience.


Data Management & Compliance:
o Maintain accurate records of recruitment and onboarding activities, ensuring compliance with POPs policies and applicable regulations.
o Assist with the preparation of reports on recruitment and onboarding metrics, including time-to-hire and new hire retention rates.

Vendor Management:

Provide administrative and operational support to staffing vendors by coordinating job requisitions, ensuring compliance with HR policies, tracking candidate progress, resolving issues, and facilitating smooth onboarding. Act as a liaison between internal HR teams and vendors to maintain effective communication and timely fulfillment of staffing needs.


Qualifications

• Bachelor’s degree in human resources, Business Administration, or related field desired
• Two (2) plus years of proven experience as a Recruiting Specialist, Talent Acquisition Coordinator, or similar role.
• Familiarity with Applicant Tracking Systems (ATS), Human Resource Information Systems (ADP) and Vendor Management (VMS)
• Strong communication, organizational, and interpersonal skills.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Understanding of labor laws and best practices in recruitment and onboarding.

Required knowledge, skills and ability:
• Experience in onboarding processes and/or employee engagement.
• Ability to work collaboratively with cross-functional teams.
• Strong problem-solving skills and attention to detail.
• Proficient in Word and Excel
• Strong organizational skills
• Flexible- able to multitask
• Able to work with varied personalities
