Payler Wholesale Printing is seeking a friendly, organized, and detail-oriented Receptionist/Office Assistant to be the welcoming face and voice of our company. This role provides essential administrative support to ensure smooth office operations. The ideal candidate will contribute to a positive and professional environment, committed to quality and service in the printing industry.
Responsibilities:
- Reception Duties:
- Serve as the main point of contact for visitors, clients, and candidates, greeting them warmly and professionally in person and on the phone.
- Manage the switchboard, routing calls and taking messages accurately.
- Maintain the visitor log and follow security procedures.
- Handle incoming and outgoing mail, including sorting, distributing, and shipments.
- Keep the reception area tidy, welcoming, and presentable.
- Coordinate meeting room schedules and setup.
- Order and maintain office supplies.
- Office Administration:
- Provide general administrative support: photocopying, scanning, faxing, filing.
- Assist with data entry, record-keeping, and organized files.
- Prepare correspondence and documents.
- Manage appointments and calendars.
- Process invoices and expense reports.
- Assist with travel arrangements.
- Support other departments with administrative tasks.
- Maintain office equipment and coordinate repairs.
- Organize company events and meetings.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent; Associate's degree preferred.
- Experience as a receptionist, office assistant, or similar role.
- Proficiency in Google Office Suite.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Attention to detail and accuracy.
- Ability to handle confidential information.
