Job Summary
As our Front Desk Receptionist, you will play a crucial role in ensuring the smooth day-to-day operations of our facility. You will be responsible for managing the front desk, providing outstanding customer service to our clients, and performing a variety of administrative and clerical tasks. The ideal candidate will have a strong understanding of HIPAA regulations, excellent communication skills, a calm demeanor, and a friendly, inviting personality.
Key Responsibilities
- Warmly greet clients and visitors, check them in for appointments, and manage the waiting area.
- Answer, screen, and forward incoming phone calls in a professional and courteous manner.
- Manage incoming and outgoing mail, faxes, and other correspondence.
- Collect co-pays and other client payments accurately.
- Schedule and confirm appointments as needed.
- Perform scanning, copying, and filing duties, including copying insurance cards.
- Assist with uploading documents to electronic client charts, ensuring accuracy and confidentiality.
- Write school/work excuse notes as requested.
- Monitor and restock office supplies, forms, and documents.
- Assist with general administrative healthcare tasks to support clinical and administrative staff.
- Assist with provider credentialing tasks as needed.
- Contact and coordinate with vendors or resources for facility needs (e.g., elevator, Wi-Fi, bathroom, printer issues).
- Attend staff meetings and trainings as required.
- Perform miscellaneous administrative tasks as assigned to support the efficient operation of the facility.
Required Qualifications & Skills
- Proven experience as a Receptionist, Front Desk Representative, or similar role, preferably in a healthcare setting.
- Thorough understanding of HIPAA rules and regulations and a commitment to maintaining patient confidentiality.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Demonstrated critical thinking and problem-solving abilities.
- Meticulous attention to detail and accuracy.
- Ability to follow instructions precisely and work independently.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and comfortable learning new software (e.g., EHR systems).
- Calm, professional demeanor, especially when handling sensitive situations or working under pressure.
- A genuinely friendly, empathetic, and inviting personality.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's degree or relevant certification.
- Experience with Electronic Health Record (EHR) systems.
- Prior experience in a mental health or medical office setting.
- Basic understanding of medical terminology.
Work Schedule
- This is a full-time, on-site position.
- The standard hours are Monday through Friday, 9:00 AM to 5:00 PM.
