It is a multi-faceted real estate organization, involved in the development, finance, construction, and asset management of new and rehabilitated multi-family housing for low to middle income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and its tax-exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.

Job Description

We are seeking a bright, energetic Property Management Administrative Assistant for our affordable housing portfolio in the Boston Tremont section of the Bronx. The ideal candidate will help support our growth and is eager to learn and grow with the company. Our organization is privately-held, industry leader in affordable housing in NYC, and values longevity and team-oriented culture.

Salary range is $48-50k, based on education, training, and experience. Role is eligible for a year-end discretionary bonus.

Duties And Responsibilities
  • Answer Property Management Department telephone calls, determine priority, resolve issues independently, prepare paperwork, relay messages accurately and promptly.
  • Provide administrative support to Assistant Property Manager/Property Manager/Facility Director/Area Manager: returning calls, relaying messages, managing correspondence via email, fax, etc.
  • Screen incoming mail and distribute appropriately.
  • Handle resident complaints.
  • Input work orders into Yardi and update as necessary.
  • Attend team meetings, record and file minutes if required.
  • Provide status reports to Property Managers on a weekly/daily basis.
  • Type daily correspondence, including copying, scanning, and distribution.
  • Ensure tenant information is accurate and current in the database.
  • Manage mass email mailings, including data entry for reports and inspection letters.
  • Maintain contact lists for tenants, emergency contacts, and vendors.
  • Order and track office supplies.
  • Ensure operation of equipment, perform preventive maintenance, and evaluate new tools.
  • Prepare household composition letters.
  • Other duties as assigned.
Qualifications
  • Proficient in Word, Outlook, Excel, and Yardi.
  • 2-3 years’ experience in real estate management preferred.
  • Effective communication skills, ability to interact with all levels of staff.
  • Highly organized, able to multitask, prioritize, follow through, and meet deadlines.
  • Excellent customer service skills.
  • Bilingual Spanish/English preferred.
Educational Requirements
  • H.S. Diploma or GED required.
  • College credits of 40+ or an AS/BA degree preferred.
Physical Demands
  • Ability to sit, use hands, talk, hear; occasional standing, walking, reaching.
  • Specific vision abilities required include close vision and focus adjustment.
