About the Role
Retrēv is looking for a professional and dependable Front Desk Receptionist to join our Operations team.
As the first point of contact for visitors, callers, vendors, and employees, the Front Desk Receptionist plays an important role in creating a welcoming and organized office environment. This position is responsible for greeting guests, managing incoming calls, processing mail and deliveries, and providing general administrative support.
The ideal candidate is friendly, organized, detail-oriented, and comfortable balancing customer-facing responsibilities with day-to-day administrative tasks.
What You’ll Do
- Greet visitors, vendors, interview candidates, and guests in a professional and welcoming manner.
- Notify appropriate team members when visitors arrive and assist with basic guest needs.
- Maintain a clean, organized, and welcoming reception area.
- Answer incoming calls professionally and direct callers to the appropriate employee or department.
- Take accurate messages and monitor general voicemail communications.
- Escalate urgent matters or unusual requests when appropriate.
- Receive, sort, organize, and distribute incoming mail and packages.
- Process incoming and outgoing mail according to established procedures.
- Handle confidential, financial, legal, and client-related documents with care and accuracy.
- Prepare outgoing mail, packages, and courier items as needed.
- Assist with document organization, scanning, filing, and data entry.
- Maintain visitor information, delivery logs, and other front-desk records.
- Help prepare meeting rooms for visitors, interviews, trainings, and internal meetings.
- Assist with vendor coordination, maintenance visits, and scheduled office services.
- Provide additional administrative support as needed.
What We’re Looking For
- High school diploma or equivalent.
- Previous experience in reception, customer service, office administration, hospitality, mail processing, or another communication-focused role.
- Strong written and verbal communication skills.
- Professional, clear, and proactive communication style.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and critical-thinking skills.

- Experience in a legal, healthcare, records retrieval, professional services, or corporate office environment.
- Experience processing incoming and outgoing mail.
- Experience handling confidential documents, payments, checks, or legal correspondence.
- Ability to quickly learn new software, office procedures, and document-processing systems.
- Comfortable communicating professionally with a wide range of people.
