Position Summary

The receptionist serves as the first point of contact for visitors and callers, ensuring a welcoming environment and efficient communication. This role involves administrative and clerical tasks to support the daily operations of the organization.

Key Responsibilities
Front Desk Management:
  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct phone calls promptly and accurately.
  • Manage the reception area to ensure it is tidy, organized, and presentable.
Visitor Assistance:
  • Provide visitors with relevant information or direct them to the appropriate personnel.
  • Maintain visitor logs and issue visitor badges, if applicable.
Administrative Duties:
  • Schedule and manage appointments, meetings, or conference room bookings.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Maintain and update contact lists, databases, and other office records.
  • Prepare basic reports or correspondence as needed.
Customer Service:
  • Address inquiries or complaints from clients and elevate issues when necessary.
  • Provide information about the organization’s services, products, or policies.
Clerical Support:
  • Operate office equipment, including fax machines, copiers, and computers.
  • Assist in inventory management for office supplies, ensuring adequate stock levels.
  • Provide general administrative support to other departments as required.
Safety and Security:
  • Monitor access to the premises and ensure adherence to visitor policies.
  • Report any security or maintenance issues to the appropriate personnel.
