The receptionist/office administrator contributes to the organization's smooth operations as the first point of contact, greeting visitors and clients, answering phone calls, and ensuring a welcoming environment. In addition to managing the front desk, they provide a full range of transactional support to the human resources team and general administrative support to other departments.
- Greet visitors and operate the switchboard (i.e., incoming calls, contacting visitors’ appointments).
- Sort and deliver all incoming mail and process outgoing mail.
- Manage attendance calls, occurrences, and corrective actions for the entire facility.
- Upload communication to monitors, send communications via email (birthdays, anniversaries, etc.).
- Manage the monthly Newsmeister newsletter.
- Maintain SAP/ADP employee files and conduct audits.
- Manage offboarding communication with the necessary parties.
- Maintain and update onboarding folders.
- Assign lockers to new hires and maintain the locker assignment spreadsheet.
- Manage the uniform program.
- Process employee badges and HR invoices/expenses.
- Reimburse employees for safety shoes and glasses.
- Order supplies and keep the stockroom organized and clean.
- Maintain employee files.
- Schedule and coordinate hotel accommodations for vendors and customers as needed.
- As the Concur Administrator, act as the first contact for support, assist with questions, set up new accounts, and maintain training records.
- Support regulatory compliance through data entry for permits, licenses, and environmental reports.
- Coordinate with third-party companies to scan and archive facility documents.
Qualifications:
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Knowledge of ADP and SAP is desirable.
- Highly organized with the ability to prioritize and handle multiple tasks.
- Strong communication, analytical, and interpersonal skills.
- Able to work in a fast-paced environment with attention to detail.
- Self-motivated and a problem solver.
- Ability to maintain confidentiality.
Education/Training:
- High school diploma or equivalent.
- Previous administrative experience preferred.
Physical Demands:
- Regularly stand, walk, bend, and use hands.
- Occasionally lift up to 15 pounds.
- Specific vision abilities required include close and peripheral vision.
Work Environment:
- Typical office setting with occasional exposure to noise, dust, and chemicals.
- Safety glasses/goggles must be worn in designated areas.
