The Receptionist Support serves as the first point of contact for patients, vendors, and staff. This role manages front‐desk operations, provides administrative support across departments, and ensures a smooth, professional, and compliant workflow within the office. The ideal candidate is organized, customer‐focused, and able to manage multiple responsibilities in a fast‐paced healthcare environment.
Key Responsibilities
- Greet patients and visitors, provide check‑in assistance, and maintain a welcoming front‑office environment.
- Answer and route incoming calls; respond to general inquiries with professionalism and accuracy.
- Collect, scan, and organize patient documents, including IDs, insurance cards, receipts, and medical forms.
- Maintain the front‑desk ensuring all patient receipt copies are filed daily for management review.
- Support scheduling activities, including appointment confirmations, rescheduling, and communication with clinical staff.
- Assist with insurance verification, benefit checks, and documentation requests as needed.
- Prepare daily logs, reports, and communication summaries for leadership.
- Coordinate incoming deliveries, mail distribution, and vendor check‑ins.
- Maintain supply inventory and place orders when needed.
- Assist with basic payment collection and receipt reconciliation.
- Support compliance workflows by ensuring accurate documentation, proper patient communication, and adherence to company policies.
- Provide general administrative support to management and other departments as assigned.
Qualifications
- High school diploma or equivalent required.
- Prior experience in healthcare, DME, medical office, or customer service preferred but not required.
- Strong communication, organization, and multitasking skills.
- Proficiency with office multi‑line phone systems.
- Ability to maintain confidentiality and handle sensitive information appropriately.
