Addison Group is partnering with a growing real estate organization to hire a Listing & Transaction Coordinator in St. Charles, IL.

You will manage residential transactions from contract to close, serving as the main contact for agents, clients, lenders, and title companies to ensure deadlines are met and processes run smoothly. The ideal candidate has 1–2 years of real estate customer service, strong communication, and exceptional organization.

Qualifications

• 1–2 years of customer service experience in real estate.
• Proficiency in Microsoft Office, including Excel.
• Experience with Canva is a plus.
• Strong organizational skills and exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize work in a deadline-driven environment.
• Outgoing, professional, and customer-focused personality.
• Self-starter with strong problem-solving skills and a willingness to take initiative.
• Stable work history demonstrating reliability and accountability.

Responsibilities

• Manage multiple real estate transactions simultaneously from executed contract through closing.
• Coordinate with buyers, sellers, real estate agents, lenders, title companies, inspectors, and attorneys throughout the transaction process.
• Monitor contract timelines and ensure all deadlines, contingencies, and documentation requirements are met.
• Prepare, review, and maintain transaction files for completeness and compliance.
• Schedule inspections, appraisals, final walkthroughs, and closing appointments.
• Track and obtain required signatures, disclosures, and supporting documentation.
• Communicate transaction updates and proactively resolve issues that may delay closing.
• Maintain accurate records within the company's transaction management and CRM systems.
• Provide exceptional customer service while maintaining confidentiality and professionalism.
