Job summary

Qualifications

Job description

The QA/QC Document Control Specialist is responsible for maintaining accurate, organized, and up-to-date quality documentation for assigned projects. This position plays a key role in ensuring project records are complete, traceable, properly maintained, and readily available for management, clients, inspectors, and other authorized personnel.

The ideal candidate will be highly organized, dependable, detail-oriented, and comfortable working in both office and field environments. This individual must be able to read and understand construction drawings and blueprints, maintain weld maps and material documentation, utilize Bluebeam effectively, and ensure QA/QC documentation is completed and distributed in a timely and professional manner.

Key Responsibilities
  • Create, organize, maintain, and complete project job books/turnover packages, ensuring all required QA/QC documentation is accurate and accounted for.
  • Create, update, and maintain weld maps and associated weld documentation throughout the duration of each project.
  • Read and interpret construction drawings, blueprints, isometric drawings, specifications, and project documentation.
  • Utilize Bluebeam Revu to review, mark up, organize, manage, and distribute drawings and project documents.
  • Maintain organized electronic and hard-copy project files, including proper document naming, filing, revision control, and record retention.
  • Maintain accurate records of material inventory, including receiving, tracking, verifying, and documenting materials used on assigned projects.
  • Assist with material traceability and ensure applicable documentation is maintained for project materials.
  • Stay current with all required project audits, QA/QC records, inspection documentation, and outstanding documentation requirements.
  • Prepare and provide inspectors with required digital documentation, drawings, reports, and supporting records in a timely, accurate, and professional manner.
  • Coordinate with project management, supervision, QA/QC personnel, inspectors, welders, and field personnel to obtain missing or required documentation.
  • Review documentation for accuracy and completeness and follow up on missing information, signatures, reports, or supporting records.
  • Maintain current revisions of drawings and documents and help ensure outdated or superseded documents are properly controlled.
  • Assist in preparing documentation for internal, client, and third-party audits and inspections.
  • Track outstanding QA/QC items and work with the appropriate personnel to ensure they are resolved and properly documented.
  • Maintain confidentiality and professionalism when handling company, employee, client, and project information.
  • Travel to project locations as necessary to collect documentation, perform material inventories, coordinate with field personnel, and support QA/QC activities.
  • Perform additional QA/QC and document-control duties as assigned.
Required Qualifications
  • Strong organizational skills with the ability to maintain accurate records across multiple projects or work activities.
  • Ability to read and understand blueprints, construction drawings, and isometric drawings.
  • Working knowledge of Bluebeam Revu or the ability to demonstrate proficiency with the program.
  • Strong computer skills and ability to manage electronic files, PDFs, spreadsheets, email, and other project documentation.
  • Strong attention to detail and ability to identify missing, incomplete, or inconsistent documentation.
  • Ability to communicate professionally with inspectors, clients, supervisors, project management, and field personnel.
  • Ability to work independently, prioritize responsibilities, and meet project deadlines.
  • Must be dependable and capable of following documentation requirements from beginning of project through final turnover.
  • Previous experience in QA/QC, document control, welding documentation, construction, pipeline, mechanical, industrial, or related work is preferred.
  • Knowledge of weld documentation, material traceability, inspection records, and construction turnover packages is preferred.
Driving & Travel Requirements
  • Must possess a valid driver's license and maintain an acceptable driving record.
  • Must have reliable transportation and the ability to travel to and from project locations as required.
  • Must be willing and able to travel between the office, job sites, inspection locations, and other project-related locations.
  • Travel requirements may vary depending on project location and workload.

Performance Expectations

The QA/QC Document Control Specialist is expected to maintain project documentation in an audit-ready condition throughout the life of the project. Documentation should not be allowed to accumulate until the end of a project. Job books, weld maps, material records, inspection documentation, drawings, and electronic files should be maintained continuously so information can be provided to management, clients, or inspectors when requested.

Accuracy, organization, timely communication, and follow-through are essential requirements of this position.
