Purchasing Manager
Job Summary:
We are a fast-paced, mid-sized sign company with approximately $20 million in annual sales, seeking a full-timePurchasing Managerto oversee the procurement of all materials and services essential to manufacturing and installing our signage products. This pivotal role manages all purchasing activities, including sourcing, negotiating, and maintaining vendor relations. Success in this position requires exceptional organizational skills, the ability to leverage historical purchasing data, and proactive communication across departments to meet critical deadlines.
The Purchasing Manager will also coordinate facility maintenance and support the smooth operation of production by managing materials, equipment, and vendor services. This role works closely with production, sales, and installation teams to deliver timely quotes, manage lead times, and ensure continuous workflow across the company.
Essential Duties and Responsibilities:
- Solicit a minimum of three competitive quotes for materials and manage the complete procurement cycle—from order approval to payment reconciliation.
- Maintain prompt and detailed communication with various departments of production, sales, and installation. Proactive communication is key to not falling behind or missing deadlines.
- Build and sustain strong vendor relationships, negotiating for the best service and pricing while minimizing errors. Problem solving as a team without deflecting or assigning blame is key.
- Create Purchase Orders, Item Receipts, Reimbursements, and Credits for all materials and equipment used on a day-to-day basis.
- Coordinate and review tasks with assistants, forklift operators, material pullers, and delivery drivers daily/weekly/monthly to maintain high-level performance
- Stay current on market changes, research alternative materials, coordinate product testing, and share updates with design and sales teams.
- Leverage historical purchasing data to track pricing trends, reference past project details, and re-engage vendors offering competitive advantages.
- Coordinate facility services (e.g., waste disposal, HVAC, lighting, pest control, landscaping) to maintain a safe, clean, and efficient work environment.
- Research, purchase, and coordinate delivery, training, and repairs for machinery, tools, vehicles, and other equipment in a timely, cost-conscious manner.
- Identify and implement process improvements to optimize efficiency, material handling, inventory management, and equipment longevity.
- Promptly and professionally execute tasks assigned by the President, Vice President, Production Manager, and Sales Director; embrace a collaborative, team-first approach.

Education and Experience
Required: Bachelor’s degree in Sales, Supply Chain, Finance, Business, or related field with at least 2 years of relevant experience, OR High school diploma/GED equivalent from an accredited institution and six (6) years related supply chain/procurement experience.
Preferred: Sign or construction industry experience.
