Job summary

Mindful Therapy Group is seeking a Provider Support Specialist to be the first point of contact for provider members, delivering high-level customer service and handling administrative tasks for independent practices. You will work with the OM, Intake, and Billing teams to resolve requests and maintain PHI security.

The role emphasizes proactive communication, organization, and problem-solving to support providers and the growth of the company.

Qualifications

• Previous experience in a customer support role.
• Professional written and verbal communication skills.
• Strong attention to detail with the ability to multi-task, set priorities, and manage time effectively
• Team player mentality with the ability to openly communicate with the management team.
• Flexibility- we are open Monday-Friday 7:00am-8:00pm and Saturday 8am-4pm.

Responsibilities

• Collaborate with the Office Manager to set goals and follow through on tasks.
• Create a warm, welcoming atmosphere for clients using active listening.
• Follow procedures to verify demographics, collect balances, and schedule appointments.
• Handle high volume emails and provider chats to coordinate care while protecting PHI.
• Become an expert on provider messaging, scheduling, and intake processes.
• Deliver excellent customer service via phone, in person, and email.
• Assist in maximizing providers’ schedules for new and returning clients.
• Assist with tech troubleshooting and patient portal/telehealth questions.
• Maintain HIPAA guidelines and secure PHI.
• Escalate unresolved issues to Office Manager.
• Suggest process improvements with management.
• Maintain a professional office environment and brand presence.
