Compensation: $75,000–$85,000 base salary plus 10% target bonus | Schedule: Full time, in office

Position Overview

We are seeking an experienced Proposal Specialist for an established organization serving the commercial construction and building services market. This role owns assigned pursuits from initial review through final submission, coordinating with business development teams, subject matter experts, and leadership to create persuasive, accurate, and compliant proposals.

The work combines proposal management, writing and editing, research, project coordination, and presentation development. The ideal candidate is organized, detail oriented, and comfortable managing multiple contributors under firm deadlines.

Responsibilities

• Manage assigned proposals and pursuits from intake through final delivery.
• Review RFPs, RFQs, and prequalification requests for requirements, evaluation criteria, deadlines, and submission instructions.
• Build proposal schedules, assign content responsibilities, and lead kickoff and progress meetings with stakeholders, including senior leaders.
• Gather technical information, qualifications, project examples, resumes, and other supporting materials from internal experts.
• Research, write, edit, and organize tailored responses that address client needs and solicitation requirements.
• Adapt existing resumes, project profiles, company information, and standard narratives for each opportunity.
• Develop key messages with internal teams and coordinate graphics, charts, and other visual content.
• Review submissions for accuracy, completeness, consistency, grammar, formatting, and compliance.
• Prepare presentations and interview materials; support rehearsal and preparation for shortlisted pursuits.
• Maintain proposal files and reusable content, track outcomes, and recommend improvements to processes and templates.

Qualifications

• Bachelor’s degree in Marketing, Communications, English, Business, or a related field.
• At least 2–3 years of professional proposal development or proposal management experience, including ownership across multiple stages of review.
• Excellent writing, editing, proofreading, organization, and project management skills.
• Ability to interpret detailed solicitation requirements, manage concurrent deadlines, and coordinate contributors at all levels.
• Collaborative communication style and proficiency with Microsoft Word, PowerPoint, and Excel.
• Ability to work in office as required.

Preferred Qualifications

• Proposal experience in construction, engineering, architecture, facilities, or another technical B2B setting.
• Adobe InDesign experience.
• APMP certification or familiarity with its proposal management practices.

What to Expect

This is a deadline driven role. Major pursuits may occasionally require evening, weekend, or holiday work to meet submission deadlines. Success calls for ownership, responsiveness, sound judgment, and careful work behind the scenes.
