Matrix Project Services in Broomall, PA is seeking a Proposal Specialist to coordinate and produce proposals, presentations, and client communications. You will prepare compliant responses to RFIs, RFQs, and RFPs, and support CRM data entry and reporting.

Qualifications

  • 3+ years proposal development or related experience preferred.
  • Bachelor’s degree in Marketing, Communications, English, Journalism, Business Admin, or related area preferred.
  • Excellent communication skills, both verbal and written.
  • Advanced PowerPoint skills and expertise required.
  • Strong computer skills including Adobe CC.
  • Experience with Microsoft Dynamics CRM (or equivalent) preferred.
  • Experience with submitting client proposals and other communications via web-based sourcing platforms preferred.
  • Proposal experience in the engineering and construction industries preferred.
  • Ability to operate under pressure and changing environments.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to prioritize work and manage multiple projects and deadlines.

  • Develop and support client/company requests for proposals, prequalifications, presentations, and reports.
  • Prepare and maintain proposal compliance matrix identifying RFP deliverables and applicable Division of Responsibilities for each deliverable, proposal schedule, and RFP compliant proposal response document(s) for submission.
  • Create and edit multi-page/multi-section documents using brand guidelines and templates.
  • Support proposal reviews, including managing the collection, assembly, and distribution of draft materials, participating in reviews of documents, and incorporating and distributing comments to authors.
  • Participate in the response to the final reviews; edit content for proper grammar, logic and accuracy, and readability; and refine document(s) to incorporate strategic sales elements in response to client’s requirements.
  • Develop and prepare written communications for internal and external communications on behalf of the Company.
  • Develop and prepare dynamic presentations for internal and external use.
  • Support and protect the Company by making sure positive messaging is maintained in all stakeholder communications.
  • Support CRM data entry, data quality, data maintenance, updates, and reporting.
  • Some travel may be required.
  • Perform additional responsibilities, as required.

Description
Job Summary

The Proposal Specialist is responsible for coordinating, developing, and producing proposals, presentations, and communication materials that consistently and effectively represent the Company. This role primarily supports the preparation of compliant responses to client’s Requests for Information (RFIs), Requests for Qualifications (RFQs), and Requests for Proposals (RFPs). Responsibilities also include support of CRM data entry, data maintenance, quality, updates, and reporting.

The successful candidate will assist Business Development and other departments by preparing presentations and communications for internal and external audiences. Additional responsibilities include reformatting existing content and developing and creating new content that clearly communicates key sales themes through narrative, illustration, and graphics. This position will also collaborate with functional leadership to develop project and company narratives and provide general ad hoc support for the organization.

  • Strong computer skills, including experience using design software such as Adobe CC strongly preferred.
  • Ability to synthesize large amounts of data into practical and useful information.
  • Proficiency with Microsoft Word, Excel, Outlook, Teams, SharePoint, and internet search engines for conducting research required.
  • Experience with Microsoft Dynamics CRM (or equivalent) preferred.
  • Experience with submitting client proposals and other communications via web-based sourcing platforms preferred.
  • Proposal experience in the engineering and construction industries preferred.
  • Ability to operate under pressure and changing environments.
  • Strong organizational skills with attention to detail and accuracy necessary.
  • Ability to prioritize work and manage multiple projects and deadlines.
